Create, send and convert quotes to invoices
Quotes let you record a proposal before invoicing. You use client details, lines and totals just like invoices, then convert accepted quotes into draft invoices.
How it works
The normal route from proposal to invoice.
- 1 Create a new quote and choose the client. UurKlus copies client details and assigns a quote number automatically.
- 2 Check the quote date, validity, reference and optional project link.
- 3 Add lines with description, quantity, price and VAT. Totals are recalculated when saving.
- 4 Email the quote to your client. UurKlus first preserves the PDF and the content of this version. Sending it again uses the same document.
- 5 Record an approval you received on the detail page, then convert the quote to an invoice. Lines and amounts are copied.
Main parts
What quotes in UurKlus are about.
Start with an editable draft. Emailing, recording a status or converting to an invoice preserves the version. Recording a status registers your choice; it does not send an email or collect a digital signature.
Check descriptions, quantities, prices and VAT as for invoices. Ordinary services to EU consumers receive Dutch VAT as a suggestion; exceptions require assessment. Replace the old generic EU consumer services choice with a specific treatment. OSS/IOSS and margin schemes are unsupported: quotes using them cannot be sent, downloaded or converted. On conversion, recheck the applicable VAT profile, amounts and supply.
The first issue follows the client language: Dutch or English. A preserved version keeps that language when downloaded or emailed again. Start a new draft version to use a different language.
An accepted quote can be saved as a draft invoice. You then finish the invoice as usual.
Preserved versions lists earlier issues. These are also accessible through the document archive without an active subscription. Old quotes without a preserved PDF receive a labelled historical copy. For empty or unsupported historical quotes, starting a new draft preserves only the historical data as JSON; an original PDF is not invented.
